Coffee machine service checklist
A consistent checklist improves safety, diagnosis, communication and invoicing. It should guide the technician without replacing technical judgement or manufacturer procedures.

Before attending
Capture the machine brand, model, serial number, site, contact, access details, reported symptoms and operating impact. Ask for photos or error information where useful and confirm whether the machine is safe to use until attendance.
- Confirm site address, access, parking and contact person.
- Review previous faults, parts and technician recommendations.
- Check likely parts, tools and safety requirements.
- Clarify approval limits and call-out terms.
Arrival and safety
Confirm the reported issue with the operator and inspect the surrounding environment before opening or testing equipment. Follow applicable electrical, pressure, heat and food-safety procedures. Record any condition that prevents safe testing or repair.
Inspection and diagnosis
Use the manufacturer’s procedures and the technician’s qualifications to assess the fault. The checklist should prompt consistent observations without encouraging unqualified work. Record readings and evidence that support the diagnosis.
- Visible leaks, damage, contamination and unusual noise.
- Water supply, filtration condition and drainage.
- Temperature, pressure, flow and operating behaviour where appropriate.
- Grinder, accessories and connected equipment when relevant to the reported issue.
Work, parts and approval
Record each part used, quantity, labour time and additional charge while the job is active. Obtain approval before exceeding the agreed scope or threshold. If a part is unavailable, document the safe status of the equipment and the next action.
Testing, handover and follow-up
Test the completed work under appropriate operating conditions, clean the work area and explain the result to the customer. Capture photos, notes, recommendations and the next maintenance date before marking the visit complete.
- Confirm the original symptom is resolved or clearly documented.
- Record unresolved risks and restrictions on use.
- Create a return visit when further parts or approval are required.
- Ensure parts and labour flow into the quote or invoice.

Questions about this guide
Can one checklist be used for every coffee machine?
A common workflow can cover intake, safety, documentation and handover, but technical checks must be adapted to the equipment type, manufacturer instructions and technician qualifications.
Should technicians record every part used?
Yes. Recording parts at the job supports stock accuracy, future diagnosis and complete invoicing.
What photos are useful on a service job?
Useful photos may include the asset identity, initial condition, fault evidence, parts replaced, completed work and any remaining risk or recommendation.
